MRPiPS Communication on Deadlines for Submitting Employment Contracts for Foreign Nationals via praca.gov.pl

On 29 May 2025, the Ministry of Family, Labour and Social Policy published an important announcement. It sets out the deadlines for implementing new solutions within the praca.gov.pl system. These concern components designed for submitting copies of employment contracts concluded with foreign nationals to the appropriate authority. This applies in cases where an employer has obtained a work permit for a foreign national. The obligation also includes situations where a declaration on entrusting work to a foreign national has been entered into the register of declarations.

New deadlines applicable to employers:

• From 1 July 2025: submission of a copy of the contract concluded with a foreign national to the starosta who entered the declaration on entrusting work to a foreign national into the register of declarations.

• From 1 August 2025: submission of a copy of the contract concluded with a foreign national to the voivode who issued the work permit for the foreign national.

Please note that:

• The obligation applies only to contracts concluded with foreign nationals for whom a work permit has been obtained or whose declaration has been entered into the register of declarations.

• Submitted contracts must be in Polish or bilingual. If a Polish version is not available, a sworn translation into Polish will be required.

• The copy of the contract must be submitted before entrusting work to the foreign national.
